1. Who we are
This policy covers Hosting Metro, a division of iDigital Internet Inc. It applies to this website, to our client area at shop.hostingmetro.com, and to the services we provide.
iDigital Internet Inc. is the data controller for the personal information this policy describes. Our Terms of service govern your use of our services.
2. What we collect
- When you sign up. Details such as your name, email address and phone number, so that you can use our services.
- When you pay. Your billing details. If you pay by card, we collect the card details through a secure payment processing service.
- When you contact support. Your contact details, a description of the problem, and any screenshots or documents you send. This applies whether you open a ticket, talk to our team or are named as a technical contact.
- When you send us content. For example, feedback you give us or answers to a survey.
3. How we use it
- To confirm that you are the account holder before we act on a support request or an account change.
- To talk with you about your services.
- To process your payments, and to prevent or detect fraud, including fraudulent payments and fraudulent use of our services.
- To send you marketing, research or survey messages by email or other means, as far as the permissions you gave us allow.
We may disclose information to law enforcement agencies when they make a lawful request, without asking you or telling you first. We cooperate fully with law enforcement.
4. Services that handle it for us
These services handle personal information for us:
- WHMCS. The software behind our client area, billing and support tickets. It holds your account, billing and ticket details, and runs on servers we operate.
- A payment processor. Card payments made in the client area go through a payment processing service.
- Cloudflare. Our network is protected by Cloudflare Magic Transit. Traffic to our network passes through Cloudflare’s network first, so Cloudflare handles connection details such as IP addresses.
- MailChannels. Outbound email from shared hosting and WordPress plans is relayed through MailChannels. It handles those messages, including sender and recipient addresses.
- Email filtering. Inbound email is checked for spam and viruses by a filtering service.
- Providers of what you buy through us. When you register a domain, order an SSL certificate or buy Microsoft 365, we pass the details they require to the domain registrar, the registry, the certificate authority or Microsoft. Domain contact details may appear in public registration records, as the registry’s rules require.
We, and the services above, may store and handle your information outside the country where you live.
5. Your rights
Depending on where you live, privacy law gives you rights over your personal information. Where these rights apply, and except where the law limits them, you may:
- Access it. Learn what personal information we hold about you, and ask for a copy.
- Correct it. Ask us to fix information that is wrong or incomplete.
- Erase it. Ask us to delete it.
- Restrict it. Ask us to stop using some or all of it, for a time or for good.
- Object. Object to our use of it on grounds that relate to your own situation. You may also object at any time to its use for direct marketing.
- Take it with you. Get the information you gave us in a common, machine-readable format.
In the European Union and the United Kingdom, these rights come from the GDPR and the UK GDPR.
You can update most of your details yourself in the client area. For anything else, open a support ticket or use our contact form.
To protect you, we only act on a request about the information linked to the email address you write from. We may need to confirm who you are first. We try to complete each request as soon as we reasonably can.
If you are unhappy with how we handle your information, you may complain to a privacy regulator. Under Canada’s federal privacy law (PIPEDA), that is the Office of the Privacy Commissioner of Canada. In the European Union or the United Kingdom, it is your local data protection authority. In the United Kingdom, that is the Information Commissioner’s Office.
6. How long we keep it
We keep personal information only as long as we need it to provide our services, and for legitimate, essential business purposes. Those include keeping your services running well, deciding on new features and offerings, meeting our legal obligations and resolving disputes.
If you ask, we will delete your personal information, or anonymize it so that it no longer identifies you. We may keep some of it when the law allows or requires us to, for example:
- while an issue on your account is unresolved, such as an outstanding credit, or an open claim or dispute;
- for as long as the law requires, to meet our legal, tax, audit and accounting obligations;
- where our legitimate business interests need it, such as preventing fraud or keeping our users secure.
8. Links to other sites
This website links to other sites. We are not responsible for their content or their privacy practices. Read the privacy policy of any site that collects personal information from you.
9. Security
- We take precautions to protect your information, online and offline.
- Where we collect sensitive information, such as card details, it is encrypted on its way to us. You can check: the page address starts with “https”.
- Only staff who need personal information for a specific job, such as billing or customer support, can access it.
- The servers that store personal information are kept in a secure environment.
10. Changes to this policy
We post every change to this policy on this page, and the new version replaces the old one. We take reasonable steps to draw your attention to changes. Please read this page each time you use our website, to make sure you still agree with it.
